1.About this Policy

This Privacy Policy explains how we collect, hold, use and share your personal information when you use our website, open an account, place an order, or otherwise deal with us. We handle personal information in accordance with the Privacy Act 2020 and the Information Privacy Principles. This Policy sits alongside our Terms of Trade, which govern the supply of Goods and use of our website.

By using our website or providing us with personal information, you agree to the collection and use of that information as described in this Policy.

2.Information We Collect

We collect personal information that you provide and information generated through your dealings with us, including:

  • contact and identity details, such as your name, business name, position, email address, phone numbers and delivery and billing addresses;
  • account information, such as login details, order history and communication preferences;
  • order and payment information needed to process and deliver your orders. Full card details are entered directly with our payment provider and are not stored on our own systems (see clause 7);
  • trade account and credit information for business customers who apply for a credit account, including director and guarantor details, date of birth, trade references and bank details, and information from credit reporting agencies;
  • records of your enquiries, support requests and correspondence with us; and
  • website and device information, such as your IP address, browser type, pages viewed and how you use the site, collected through cookies and similar technologies.

You do not have to provide the information we ask for, but if you do not we may be unable to open an account, process an order, or provide the service you have requested.

3.How We Collect Information

We collect personal information directly from you when you register, apply for an account, place an order, contact us, or interact with our website. For business customers applying for credit, we may also collect information from credit reporting agencies, banks and the trade referees you provide. We collect website information automatically through cookies and analytics tools.

4.How We Use Your Information

We use personal information to:

  • set up and manage your account and verify your identity;
  • process, fulfil and deliver your orders, and arrange delivery through our supplier networks;
  • assess applications for trade credit and manage credit accounts, including credit checks and account recovery;
  • take payment and manage invoicing and statements;
  • provide customer support and respond to your enquiries;
  • operate, maintain, secure and improve our website and services;
  • send you service messages and, where you have not opted out, relevant product and account updates; and
  • meet our legal and regulatory obligations.

5.Marketing Communications

Where permitted, we may send you marketing about products and offers that may interest you, in line with the Unsolicited Electronic Messages Act 2007. Every marketing email includes an unsubscribe option, and you can opt out at any time by using that link or by contacting us. We will continue to send you service and account messages that are necessary to manage your orders and account.

6.Sharing Your Information

We do not sell your personal information. We may share it with:

  • our suppliers and delivery partners, to the extent needed to fulfil and deliver your orders;
  • payment providers and banks, to process payments;
  • credit reporting agencies, trade referees and debt collection agencies, in connection with trade credit accounts and the recovery of overdue amounts;
  • service providers and technology platforms who help us run our business, website, ordering, IT systems and communications, including our business and ecommerce platform (Odoo) and our payment provider (Stripe), under confidentiality obligations; and
  • third parties where required or permitted by law, or to protect our rights, customers or property.

We share only the information reasonably needed for these purposes.

7.Payments and Card Details

When you pay by card, your payment is processed securely by our third-party payment provider, currently Stripe. Your full card details are entered directly with the payment provider and are handled under its own terms and security standards, including the Payment Card Industry Data Security Standard (PCI DSS). We do not collect or store your full card number on our own systems. We receive only the limited information needed to confirm and manage your payment, such as confirmation that a payment has been made and a partial card reference. The payment provider handles your card information in line with its own privacy policy.

8.Credit Reporting

If you apply for a trade credit account, you and any guarantor authorise us to obtain information about you from credit reporting agencies, banks and trade referees to assess and manage the account. We may also provide information about your account and payment history to credit reporting agencies, which may hold that information and disclose it to their other subscribers for credit assessment and related purposes permitted by law.

9.Cookies and Website Analytics

Our website uses cookies and similar technologies to keep you logged in, remember your cart and preferences, measure how the site is used, and improve performance. You can manage or disable cookies through your browser settings, but some features of the site may not work properly if you do. We may use analytics tools, such as Google Analytics, that collect aggregated, non-identifying information about site use.

10.Storage, Security and Overseas Hosting

We hold personal information in secure systems and take reasonable steps to protect it from loss, misuse and unauthorised access, use, modification or disclosure. We store customer and account information in our business and ecommerce platform (Odoo), and card payments are handled by our payment provider (Stripe).

Some of our service providers store or access information on cloud platforms that are located, or accessed from, outside New Zealand. Where information is held or accessed overseas, we take reasonable steps to ensure it is protected by safeguards comparable to those under the Privacy Act 2020. While we take reasonable steps to protect your information, no method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

11.Data Breaches

If a privacy breach occurs that we believe has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the affected individuals as required by the Privacy Act 2020, and take reasonable steps to contain the breach and reduce the risk of harm.

12.How Long We Keep Information

We keep personal information for as long as it is needed for the purposes set out in this Policy, and for as long as required to meet our legal, accounting and tax obligations. When information is no longer needed, we take reasonable steps to securely delete or de-identify it.

13.Access and Correction

You have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it is wrong. To make a request, contact us using the details below. We may need to verify your identity before we act on a request. We will respond within the timeframes set by the Privacy Act 2020.

14.Third-Party Links

Our website may contain links to third-party websites, including supplier, delivery and payment provider sites. We are not responsible for the privacy practices or content of those websites. We encourage you to read their privacy policies before providing them with personal information.

15.Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner at www.privacy.org.nz or 0800 803 909.

16.Children

Our website and accounts are intended for businesses and adult customers. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

17.Changes to this Policy

We may update this Policy from time to time. The current version is the one published on our website, and the effective date is shown above. Significant changes will be notified on the website or by other reasonable means.
